Every year, the state office is required to report the 4-H activities to the Cooperative Extension Service (CES) personnel at the Department of Agriculture (USDA) in Washington, D.C. This data is reported on form 237 and is designated ES-237 or more recently, CES-237. The enrollment program, OK4H, continues to be a tool to assist in compiling the required data. It will store information about activities throughout the year and calculate the totals as required by the federal report based on the information stored in the tables.
Originally, we asked that each county send the state office a copy of the data from their enrollment program (All-In-One) and fill out other forms which we then used to compile the statistics for the state. A few years ago we changed our data collection method to have each county fill out a copy of the ES-237 report form and send that, along with a copy of the data from their enrollment program, to their district office. The district offices then consolidate those forms into a single report from each district. They, in turn, send their information (along with the county enrollment data) on to the state office where we compile the state statistics.
Files
We currently have the report form available for downloading in the following formats:
- Microsoft Excel - will calculate totals for each of the questions on the form. It has formulas to check that totals which are supposed to match actually do and should cut down on the math errors that can occur when filling out a paper form.
We have not set a deadline for submitting your enrollment data to the district office, but the Oklahoma enrollment system, OK4H, is going to begin reminding everyone that a new year is starting on July 1. You will want to compile the information for your ES-237 report before having the program begin the next enrollment year or your data will be off by a year.
The national statistics are available from the National 4-H Statistics website. The Excel spreadsheets which we use to tabulate the county data from each of districts are now posted on our website in the table below.
To download an Excel file, right-click on the Excel icon and select "Save Target As ..." from the menu. Since the statewide sheets are based on the district ones, you should tell it not to try and update the values when it opens because it probably won't find the supporting worksheets -- even if you've downloaded all of them, they most likely will not be in a directory with the same name that we use.
